Booking & Payment Terms

Booking Confirmation

Every engagement with Beyond White Jacket is individually scoped and confirmed in writing. A booking is confirmed only when the agreed proposal has been accepted and the required deposit has been received. Until then, dates remain available to other enquiries.

Initial Conversations

An initial conversation is intended to establish fit, context and scope. Up to three substantive questions may be discussed during this stage.

Detailed analysis, tailored recommendations, problem-solving, strategy development or other advisory work beyond this point forms part of a paid engagement.

Scope & Fees

Fees are based on the agreed scope, format, preparation, duration, location and requirements of the engagement.

Any work outside the agreed scope must be approved separately before it begins. Where a client requires a lower overall investment, the scope or structure of the engagement may be adjusted accordingly.

Deposits

Unless otherwise agreed in writing, a 50% non-refundable deposit is required to confirm the booking.

For larger or longer-term engagements, an alternative payment structure — including a 25% booking deposit with the remaining 75% paid according to the agreed schedule — may be confirmed in the proposal.

Balance Payment

Unless another payment schedule has been agreed in writing, the remaining balance must be received no later than the day before delivery of the engagement.

Work may be postponed or withheld where payment has not been received according to the agreed terms.

Larger & Longer-Term Engagements

Consulting programmes, ongoing advisory work and other extended engagements may use staged payments or an individually agreed payment schedule. The applicable terms will be confirmed in the written proposal.

Confidentiality

Information shared during an engagement is treated with discretion and professional confidentiality.

Individual 1:1 conversations are confidential and will not normally be attributed or disclosed to other participants without permission. An exception may apply where withholding information would create a serious risk to people, the organisation, legal compliance or the integrity of the engagement.

Travel & Accommodation

Where travel, accommodation, local transport or other agreed expenses are required, these will be confirmed with the client in advance and may be invoiced separately from the professional fee.

Changes to Scope

Material changes to the agreed programme, participant numbers, location, preparation requirements, duration or deliverables may require a revised fee or proposal.

Additional advisory work requested during or after an engagement is not automatically included unless specifically stated in the agreed scope.

Changes, Postponements & Cancellations

All changes, postponements and cancellations must be communicated in writing.

Booking deposits are non-refundable. Where possible, a confirmed engagement may be moved to another date subject to availability and any additional costs incurred.

Any further cancellation or rescheduling conditions applying to a particular engagement will be stated in the proposal.

Professional Independence

Beyond White Jacket provides independent facilitation, coaching and advisory services. Recommendations are based on the information available and professional judgement at the time.

The client remains responsible for organisational, commercial, personnel and operational decisions arising from the engagement.

Acceptance

Acceptance of a proposal, payment of a deposit or commencement of an engagement constitutes acceptance of the applicable Booking & Payment Terms.
